Q Space opened their doors to the Lower Hutt community of New Zealand in May 2024. Six short months later, they have over 150 engaged members flowing in and out of their beautiful space, from transient day-passers to long-term corporate clients.
At Q Space their mission is to create a space that inspires people to want to be at work. This means taking a hospitality-driven approach complete with community events, authentic human interactions, and technology that is easy to use and easy to navigate. Together, this defines their brand.
When it came to finding the right technology partner, the Q Space team needed a platform that would support their brand vision and make their mission possible. Here’s how Deanna Hoy, Community Manager at Q Space, and the rest of the Q Space team use Optix to bring the vision of Q Space to life.
The challenge: Building a cohesive brand experience
For Q Space, brand is everything. From the website to their interior design, every element of Q Space is thoughtfully curated to deliver a cohesive brand experience. There was no question that their technology platform needed to be, too.

Streamlining operations with Automations
One of the greatest unlocks for community manager Deanna Hoy was the use of Optix Automations to help streamline key operational processes, from marketing to finance.
Deanna is able to use Automations to take care of repetitive tasks and emails she would otherwise have to complete herself. Following up with leads, completing member onboarding, checking in with invoices, and even saying happy birthday can all be automated now thanks to Optix.
Not only is it saving Deanna heaps of time each month, it also ensures a consistent brand experience for members every time.

Elevating their brand with a White-labeled App
When brand is as important to you as it is to Q Space, a White-labeled App from Optix is a no-brainer. Regarded as the best mobile app in the industry, the Optix White-labeled App is a beautiful, custom designed iOS and Android mobile application that connects your members with your space.
Members can book a room, message another member, and check-in to the space all from their phone. Not only does this make Deanna’s life easier, it further solidifies the Q Space brand.
Increasing oversight with the Account Panel
Having oversight into individual users or teams in Optix can help busy operators make strategic business decisions. With the new Account Panel, all members of the Q Space team are able to glean key insights quickly about members including their average monthly spend, any outstanding invoices, and assignments.

Automating check-ins with Kisi
Creating an integrated technology ecosystem is one of the best ways to build reliable, automated systems that support the overall member experience. Apart from using Optix Automations for internal processes, Q Space has also implemented other automated systems like automated door access control with Kisi.
Using the Optix and Kisi integration, members are able to use their phone to automatically check in to the space. With this, they’ve been able to automate over 1,400 check-ins in less than six months.
Streamlining Visitor Management
For a busy community manager like Deanna, it can be next to impossible to manage member needs and all of the incoming traffic to the coworking space. That’s why the Q Space team uses the Optix Visitor Management app, a native Optix application that links their Optix dashboard to an external tablet in their space.
Now, any visitor who arrives at Q Space can automatically check themselves in using the Visitor Management app. Guests are automatically notified as well, creating a completely seamless, touch-free experience that saves Deanna time when guests or packages arrive.
In just six months, they’ve automated over 200 guests and package check-ins alone using the Visitor Management app!
Engaging the community with Direct Messaging and the Community Feed
When implemented thoughtfully, technology can become a catalyst for community connection. At Q Space, the Community Feed and Direct Messaging in Optix serve to connect members with one another as well as key events happening in the space.
With the Community Feed, Deanna can welcome new members to the community and make important announcements about upcoming events and initiatives. They’ve posted nearly 10 feed posts per month since launching!
Direct Messaging enables members to connect with one another. With over 1,600 messages sent, it’s a great sign of a buzzing community.
What’s next for Q Space?
When asked what she feels most proud about, Deanna says making people feel comfortable in the space. Connecting members across multiple generations and giving everyone a single, central place to come together is one of the most rewarding parts of the job.
