What's new in Optix: Feb 2025

February was an exciting month at Optix. We launched a brand new learning series for Optix clients, increased targeting capabilities in Automations, and launched two partner recipes to help you run your coworking space like a pro – not to mention the Inbox+ beta!

See what we’ve added to Optix in February 2025.

Introducing: Inbox+ 

This month, we released the first round of features for the  Inbox+ beta, now open to all Optix clients! Inbox+ is the first communication tool built for coworking spaces. It enhances the current messaging system in Optix by introducing several highly requested features including:

  • Message multiple members at once with group messaging
  • Easy communication with @mentions
  • Share photos and files in any Optix message
  • Share Optix attachments (plan template, invoice, resource, etc.) directly in a message

Inbox+ has been added to your Optix dashboard automatically where you will be able to experience it firsthand. After the beta period, Inbox+ will transition to a paid feature.

Introducing: Masterclass series

This month, we introduced a new learning series in Optix called Masterclass. Masterclass is designed to help you level-up your skills in Optix with industry best practices. 

While What’s New + CS Office Hours is all about keeping you up to date with the newest features in Optix, Masterclass is about levelling up your skills with leveraging industry insights, tips, best practices and deep product knowledge. 

This month, our Masterclass focused on how to manage and nurture leads in Optix featuring Jenna Macken, Customer Success Lead, and Kelly Karn, Marketing Manager at Optix.

Set custom tax rates for resources, plans, and more

Set custom tax rates in Optix

Do some of your Resources or Plans require different tax rates? Now, you can set custom tax rates for resources, plans, assignments, and so much more in Optix! This helps to maintain invoice compliance and reduce any manual invoicing work for you and your team. 

If you need to tax your private offices at 15%, while Hot Desk memberships remain tax free, it’s all possible with Optix.

⚡️Target users in Automations based on their pass details

Get more granular with your messaging for members and leads. Send targeted emails or messages to users based on whether or not they have a pass in Optix. With this new condition, you’re able to:

  • Send a targeted email nurture sequence to users who do not currently have a pass
  • Send a custom welcome email to users after they sign up for a day pass
  • Upsell your Pass holders to purchase Plans or memberships 

This is just one more way you can target your communication more effectively to users based on their account details in Optix.

⚡️Target users in Automations based on booking details

Share Optix booking details in Optix

Listen up Optix admins, this is a big one! You can now target users in Automations based on their booking details. This includes:

  • Booking start time
  • Booking duration
  • Day of the week booking
  • Booking source

These powerful conditions make it easier to target leads or members with very specific booking details ensuring you’re delivering the right message at the right time. For example, if someone makes a weekend booking, you can now send a custom message with additional details for how they will need to access the space while your team is not on site. Using Automations+, you can automate an “Weekend Booking Fee.” 

There’s so much possible for automating your messaging and upselling for specific types of bookings!

⚡️Automate your coworking space like KWENCH and Q Space

Partner recipes in Optix

Have you ever wondered what the best coworking spaces in the industry are doing? Introducing Partner Recipes, exclusive automations created in partnership with Optix clients. This month we launched two partner recipes that you can now find in your dashboard:

  • Support your members’ first booking like KWENCH: set every new member up for success by welcoming them before their first booking and requesting feedback afterwards to ensure a delightful experience
  • Celebrate members’ anniversaries like Q Space: automatically acknowledge a member’s 1-month milestone and keep the engagement going by planning for future touchpoints, so no member slips through the cracks.
